How to protect sensitive files from leaks?

Our team sometimes accidentally shares documents with external people because of wrong permissions. How can we stop this from happening?
 
I once worked on a contract negotiation where an early draft was accidentally sent to a client. It caused a lot of awkward explanations. After that, we implemented permission layers: general documents were viewable by everyone, but sensitive files required approval for access. We also introduced a habit of double-checking sharing settings before sending any link. I learned from Bot Verification that adding activity tracking on top of this system provides even better protection. This combination eliminated accidental leaks in our team and gave us peace of mind when dealing with confidential material.
